Commercial property handover checklist

Identify the operational records, supplier arrangements and outstanding actions needed when responsibility for a building changes.

When to use it

For incoming owners, occupiers and managing agents preparing an operational handover. Begin before the transfer, record missing information and distinguish receiving a document from checking that it is current and relevant.

Open the CSV in your spreadsheet application. It contains headings and one clearly labelled illustrative row: delete that row before using the template for a real property. You can also print this page using your browser menu.

How to use the template

  1. Agree which buildings and operational responsibilities are transferring and who can confirm the scope.
  2. Request asset lists, maintenance reports, supplier details, access arrangements and outstanding recommendations through an appropriate secure channel.
  3. Record received, missing or needs clarification for each item. Name the person responsible for resolving each gap.
  4. Agree the first operating period: who receives faults, who can authorise expenditure and when unresolved items will be reviewed. Keep specialist due diligence separate.

Use with appropriate judgement

This checklist supports operational mobilisation. It is not legal due diligence, a building survey or a compliance certificate. Do not put keys, passwords, security layouts or sensitive defence information in a shared worksheet.

Store completed records in your own controlled files. Do not send completed templates or sensitive site material through the public enquiry form.
